The Events Director at Quail Creek is responsible for all public and private events at the ranch. This position will oversee all events from the first point of contact to completion. The ideal candidate will not only thrive in a fast-paced environment but also excel in organizational planning and strategy, with the ability to operate in the present and plan for the future simultaneously. Essential Duties and Responsibilities:
Operate as first and last point of contact for all events.
Work with various department leaders to coordinate and execute events across all departments.
Work with marketing contractors to attract and secure new events.
Streamline event program by creating standard operating procedure documents and processes.
Facilitate the creation and execution of event contracts and forms.
Includes internal (staff only) docs as well as customer-facing docs and event menus.
Manage and own the company-wide event calendar.
This includes understanding operational limitations and the necessity to think creatively and flexibly.
Coordinate and manage auxiliary event staff and contract labor.
Collect after-event feedback to compile and deliver to team members to improve event processes and execution.
Organize and maintain event materials.
Create and maintain shared documents for all events, coordinate event requirements, and distribute them to relevant department leaders and team members.
Assist with contracts, budget management, invoicing, and strategic planning of all current and future events.
Plan, coordinate, and execute setup and tear down of all events.
Maintain a high-functioning team with 1 to 2 direct reports.
Work directly with FSCA and NSCA to maintain event calendars and eligibility.
Required Qualifications:
Minimum 5 years of experience in event management OR bachelor's degree in event management.
Some event work experience will still be required with a degree.
Excellent communication skills and experience communicating with staff, guests, and company executives.
Ability to manage a fast-paced and diverse environment with a strong focus on hospitality and guest experience.
Experience with and knowledge of all Microsoft Office applications.
Must possess strong technological skills with the ability to learn and employ new programs quickly and effectively.
Ability to work in a highly collaborative role.
Ability and willingness to work long hours, nights and weekends as necessary.
