Serve as administrative assistant to Senior Vice President/General Counsel. Provide general office support and administrative support to various members of the Government Relations, Public Affairs and Legal Department in our Washington, DC Office.
ESSENTIAL JOB RESPONSIBILITIES
Perform a broad scope of administrative support duties including but not limited to:
Coordinate travel details and maintain busy calendar and travel schedule.
Screen incoming calls and respond to or direct as necessary.
Prepare written correspondence as needed.
Schedule and calendar regular meetings as needed.
Prepare drafts of documents, e.g. meeting minutes.
Support government and public affairs team including scheduling meetings, and preparing briefing materials for congressional staff meetings.
Manage all administrative aspects of the Washington DC office, including interfacing with building management, ordering office supplies etc.
Maintain legal, public affairs and government relations files and corporate records.
Track key contract dates and deadlines.
Responsible for several mail projects/campaigns.
Report to and take direction from the Managing Director GR/Federal Affairs in the absence of supervisor.
Serve as backup administrator for the Board Web Portal.
OTHER JOB RESPONSIBILITIES
Assist with other unexpected or temporary projects that may arise.
Run errands to local businesses and establishments as needed.
Minimum 5 years of experience as an executive/office assistant.
Bachelor’s degree strongly preferred.
Excellent written and oral communication skills.
Exceptional aptitude for accuracy and detail.
High degree of proficiency using Concur travel and arranging complicated travel details.
Demonstrated high level of proficiency with all current Microsoft Windows applications and MS office suite products.
Solid knowledge of English grammar, syntax and spelling and proofreading capabilities.
Excellent organizational and calendar management skills.
Highly motivated self-starter, and able to work independently on a wide variety of projects simultaneously.
Excellent organizational and problem solving skills essential.
Proven track record of managing responsibilities in a discreet and highly confidential manner.
Able to establish and maintain healthy working relationships
